Job Title: Marketing Event Specialist

Location: Hybrid/Clearwater, FL

The Marketing Event Specialist will be responsible for planning, organizing, and executing a wide range of events aimed at creating brand awareness and supporting demand generation initiatives for DocuPhase, as well as supporting and improving the culture of DocuPhase internally for employees. This role is highly collaborative and requires someone that is equally creative and organized. You will work closely with the marketing, executive, and sales teams. This role reports directly to the Events Manager. 

Key Responsibilities: 

  • Assist with planning and executing events including tradeshows, user groups, internal events, executive meetings, and customer road shows.
  • Assist in the management of logistics, communications, budget, and overall event flow for internal and external marketing events.
  • Assist with the design, development, and distribution of pre-show and post-show communications including emails and landing pages.
  • Develop communications to ensure attendees and supporting stakeholders are aware of travel, expectations, and results of the show
  • Manage project plans and assigned logistics as they relate to events.
  • Maintain vendor relationships as they pertain to swag, signage, onsite set-up, venue needs and additional logistics.
  • Collaborate with marketing team members to coordinate the design and production of signage, printed collateral pieces, and tradeshow booth graphics.
  • Research swag, giveaways and unique experiences as requested to create excitement and drive engagement at events.
  • Manage inventory of company & event swag, promotional items, and other Marketing supplies and order more as needed (with approval).
  • Assist in the development of marketing event strategies and process improvements based on key event learnings.
  • Track all event related expenses and assist in overall budget management.
  • Use event and marketing technology to track key metrics such as event registrations, Salesforce contact imports, lead assignments, and more.
  • Create post-event reports to be shared with departmental leaders.
  • Partake in continuous research to bring creative ideas to the table that are relevant to the industry and further improve the events program.
  • Provide assistance with other marketing projects as needed (ordering business cards, intranet announcements, social media posts and account management)

Qualifications: 

  • Bachelor's degree in Marketing, Event Management, Hospitality, Business or a related field (preferred).
  • 1-3 years proven experience in Events, Field Marketing, or a similar role
  • Excellent problem-solving and communication abilities.
  • Detail-oriented with strong organizational skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Willingness to adapt to changing priorities and embrace new challenges.
  • A passion for delivering engaging experiences and driving both brand awareness  and supporting demand efforts
  • Familiarity with Event Software (Bizzabo), Salesforce, Hubspot, and other relevant tools
  • Experience in B2B, Software/ Tech, or Finance industry is a plus
