Founded in 1963, the Community Renewal Team (CRT) is one of the largest non-profit human service agencies in Connecticut. It proudly offers a broad-based network of innovative, high-quality programs and services for people throughout the state.
CRT supports over 27,000 households and 57,000 individuals throughout its core service area in Central Connecticut. Their main goal is to help this community lift up their quality of life with a variety of services, including housing, food, energy bills, recovery, jobs, childcare, veterans' services, and more.
Forms and workflow components are now accessible within in a single system, allowing for rigorously validated data imput and increased accuracy.
"DocuPhase is a great partner. We’ve been able to adopt solutions as we need, at our pace, as our organization has continued to evolve."
Moemedi Rakhundu Manager of IT - Business & Data Analytics
The Community Renewal Team’s main mission of providing essential services and support to a community of over 57,000 strong requires accurate, efficient, and quick information-gathering procedures. As CRT continued to grow, it became rapidly apparent that its paper-based forms and traditional document collection methods were causing bottlenecks and delays throughout the organization.
Team members often found themselves having to hunt down data or re-enter contract information in multiple systems. Their form solution didn’t integrate with their heavily used HR software, ADP, which often resulted in missing, incomplete, or repetitive staff information. With multiple locations, paper files were a nightmare to manage, eating up efficiency and valuable staff time.
In order to serve their community to the best of their ability, the CRT team knew they had to make a change to their data-capturing processes.
Prior to turning their attention to their forms-related complications, the internal team had already found a solution for better managing their important documents: DocuPhase’s Document Management. With its automated features and cloud-based capabilities, it was able to quickly modernize CRT’s important back-office processes and digital library.
Contracts could be easily stored and accessed through DocuPhase’s online portal. Staff members were now able to easily see when contracts were approaching their expiration dates, at crucial 30-, 60-, and 90-day intervals. Important leases were also migrated into DocuPhase’s Document Management solution, sorted and stored based on their expiration date. While CRT still has a small, physical library of historical documents, its reliance on paper and the storage and costs associated with its use have greatly decreased.
With the success they’d had with DocuPhase’s Document Management solution in mind, the CRT team decided to enhance their existing platform even more by adding the DocuPhase Forms solution as well.
After DocuPhase’s Forms solution launched in June of 2024, CRT experienced almost immediate relief from its most pressing challenges. Since the solution was designed to create scalable, adaptable, and unique workflows to meet CRT’s specific needs, information began flowing more accurately and quickly throughout the organization. Staff members across multiple departments were now able to create more dynamics lists via the solution’s integral database connector. Additionally, they were able to create request for hire and personnel information forms that streamlined their onboarding process, resulting in increased back-office efficiency.
In the future, the CRT team has plans to build workflows for check requests, purchase orders, and other forms to continue to help them reach their important goals.
By expanding their partnership with DocuPhase, the Community Renewal Team is now better positioned to provide accurate and secure support to their communities without having to spend valuable time manually chasing down information or inputting data. With more time to focus on strategic initiatives, CRT has established itself as a trusted, reliable resource for its users.
