Challenges

Founded in 1957 as a not-for-profit organization, Goodwill Industries of Middle Tennessee (GIMT) sells donated goods to provide employment to individuals who have disabilities or trouble finding and maintaining employment. The organization operates over 300,000 square feet of retail sales floor space in more than 25 locations, 70 donation sites, and 15 employment and training centers.

Approximately 35% of Goodwill’s workforce is replaced annually as clients move into employment opportunities in their communities. This ever-shifting workforce and the associated documents generate a surplus of paper, resulting in intimidating filing cabinets and the potential for lost paperwork. Direct challenge for the Human Resources department included inefficient HR and payroll processes; lengthy, time-consuming approvals; and a growing amount of physical storage space required just for paper.

The Solution

DocuPhase’s Document Management allows businesses to make all documents and information available at the fingertips of the employees who need it, when they need it. This would allow Goodwill to bring fluid features to their document management system, such as full-text search, automated document routing, and powerful auto-indexing. These features reduce the time it takes to manage and update records manually, while keeping records secure and organized.

The Results

By implementing electronic Document Management and Process Automation, Goodwill was able to eliminate physical paper storage, resulting in a 25% reduction in time spent on paperwork, and a 70% reduction in interdepartmental inquires. This garnered over $100,000 in annual savings.
